Privacy Policy

SetPilot is a B2B tool built for professional audiovisual production teams. This policy explains what data we collect, why we collect it, and how we protect it. We do not sell your data, serve advertising, or operate a public marketplace.

Data We Collect

We collect information you provide directly when accessing SetPilot via an invitation code: your name, email address, and professional role. During use of the platform we also store content you create or upload — including production documents, project files, internal chat messages, and operational assets — as well as device and session metadata (IP address, browser, operating system) used for security and debugging purposes. If you grant camera or photo library permissions, we collect images you choose to capture or upload for use within your projects. If you enable push notifications, we store a device token used solely to deliver notifications related to your projects (messages, tasks, call sheets).

How We Use Your Data

Your data is used solely to provide and improve the SetPilot service: authenticating your identity, delivering the features you use, maintaining platform stability, and communicating service-critical updates. We do not use your content to train machine learning models, serve targeted advertising, or share it with third parties for commercial purposes.

Data Storage and Retention

All data is stored in secure cloud infrastructure (Supabase) with encryption at rest and in transit. Account and project data is retained for the duration of your active access. Upon request, data can be deleted within 30 days. Certain anonymised usage metrics may be retained for service analytics beyond this period.

Data Sharing

We do not sell, rent or trade your personal data. We may share limited information with trusted sub-processors strictly necessary to operate the service (cloud hosting, error monitoring, email delivery). All sub-processors are bound by confidentiality obligations and are prohibited from using your data for their own purposes. We may disclose data if required by law or to protect the security of our systems.

Your Rights

Depending on your jurisdiction, you may have the right to access, correct, export or delete your personal data at any time. To exercise any of these rights, contact us at support.setpilot@gmail.com. We will respond within 30 days. If you are located in the European Economic Area, you have rights under the General Data Protection Regulation (GDPR).

Security

SetPilot applies industry-standard security practices including HTTPS for all data in transit, encrypted storage, access controls, and regular security reviews. Access to production systems is restricted to authorised personnel. Despite these measures, no system is completely immune to risk; we encourage users to use strong passwords and report any suspected security issues promptly.

Changes to This Policy

We may update this Privacy Policy as our service evolves. When we make material changes, we will notify users via email or a prominent notice within the platform. Continued use of SetPilot after notification constitutes acceptance of the updated policy. The date at the top of this page always reflects the most recent revision.
